Book and Look ("Book and Look", "we", "our", or "us") is a B2B SaaS platform designed to help salons, barbershops, and beauty businesses manage appointments, customer relationships, marketing, and daily operations.

This Privacy Policy explains how we collect, use, disclose, and protect personal information when you access or use:

  • The Book and Look Vendor Application (used by Business Partners)
  • The Book and Look consumer-facing application
  • The Book and Look website

(collectively, the "Service").

This policy applies to two categories of individuals:

  • Business Partners – salon owners, managers, and staff using the platform
  • End Consumers – customers of Business Partners whose data is processed through the platform

1. Roles & Responsibilities

  • Business Partners are the data controllers for End Consumer data.
  • Book and Look acts as a data processor for End Consumer data and as a data controller for Business Partner data.
  • We process End Consumer data only on behalf of and under instructions from Business Partners.

2. Information We Collect

A. Information from Business Partners

We may collect:

  • Name, phone number, email address
  • Business name, address, and location
  • Staff details and roles
  • Business preferences, services, pricing, and schedules
  • Subscription details
  • Usage data and activity logs

B. Information about End Consumers

Collected on behalf of Business Partners, which may include:

  • Name
  • Phone number
  • Appointment details
  • Service history
  • Staff preferences
  • Visit frequency and timestamps
  • Communication history

C. Automatically Collected Information

  • Device information
  • IP address
  • Browser type
  • App usage data
  • Cookies and similar technologies (website)

3. How We Use Information

For Business Partners

We use data to:

  • Provide and operate the Service
  • Manage appointments and queues
  • Enable analytics and business insights
  • Send operational notifications
  • Provide customer support
  • Improve platform performance
  • Comply with legal obligations

For End Consumers

We process data to:

  • Enable appointment booking and queue management
  • Send appointment confirmations and updates
  • Facilitate communication between Business Partners and customers
  • Generate aggregated insights for Business Partners

4. Data Sharing & Disclosure

We do not sell personal data.

4.1 With Business Partners

Business Partners have full access to their own end-consumer data within the Book and Look platform. This data is necessary for them to operate their business. Book and Look does not share one Business Partner's customer data with another Business Partner.

4.2 With Service Providers

We engage trusted third-party vendors to support our operations, including:

  • Cloud hosting and infrastructure providers
  • Payment processing gateways
  • SMS, email, and push notification delivery services
  • Analytics and monitoring tools
  • Customer support tools
  • Communication providers
  • These vendors process data solely on our behalf and under contractual confidentiality obligations.

4.3 With Legal authorities if required by law

We may disclose information when required by law, regulation, legal process, or government authority, or when necessary to protect the rights, safety, or property of our users, the Company, or the public.

4.4 Business Transfers

In the event of a merger, acquisition, or asset sale, personal information may be transferred. We will provide notice of any such transfer and any choices available to affected parties.

All vendors are bound by confidentiality and data protection obligations.

5. Data Retention

  • We retain Business Partner account data for the duration of the active subscription and for a reasonable period thereafter to comply with legal obligations, resolve disputes, and enforce agreements. Upon account termination, data will be securely deleted or anonymized within a defined retention period, subject to applicable legal requirements.
  • End-consumer data processed on behalf of Business Partners is retained for as long as the Business Partner's account is active and as instructed by the Business Partner. Upon termination of a Business Partner's account, associated end-consumer data will be deleted or anonymized in accordance with our Data Processing Agreement and applicable laws.
  • Data may be deleted or anonymized upon request, subject to legal obligations

6. Data Security

We implement industry-standard safeguards, including:

  • Secure authentication
  • Encrypted data transmission
  • Regular security audits and vulnerability assessments
  • Secure cloud infrastructure with redundancy and disaster recovery
  • Role-based access control
  • Regular security reviews

No system is entirely immune to security risks. While we strive to protect all data entrusted to us, we cannot guarantee absolute security.

Business Partners

You may:

  • Access and update your information
  • Request deletion of your account
  • Export your data where applicable

End Consumers

Requests related to your data should be directed to the respective Business Partner. Book and Look will assist Business Partners in fulfilling such requests.
